2              PURPOSE OF THE PROCESSING AND THE LEGAL BASIS FOR THE PROCESSING

In order for Techni Limited (Techni) to fulfil its contractual and customer obligations, there is a requirement to collect specific personally identifiable information relating to prospective and actual customers. We have a couple of legal basis’ for processing your personal data, primarily this is due to processing being necessary for the performance of a contract to which you are party (e.g. sales order) or in order to take steps at your request prior to entering in a contract (e.g. quotation). We also process personal data relating to our website visitors, this data is processed on the basis of consent.1

We use information held about you in the following ways:

  • If you make an enquiry via our website (techni.co.uk or www.technisystems.co.uk) we will use the information which you provide us with in order to fulfil your enquiry, this could be used in order to generate a quotation or for us to get in contact to further determine your requirements.
  • Should you place an order with us, we will be required to further process your information in order to fulfil the requirements of your order.
  • We use Google Analytics on our website which involves tracking visitor usage, we would never contact you directly as a result of your usage on our site (unless you completed our contact form), we use the website usage data to aid in improving and enhancing the functionality and use of the site itself.

3              LEGITIMATE INTERESTS OF TECHNI

Techni Limited (Techni) have a legitimate interest in further processing the information which is provided by you at the point of enquiry and/or purchase.

We may also use your information for other specific legitimate purposes such as:

  • From time to time, we may send you marketing material, this will only contain offers and news relating to products and services similar to those which you have previously enquired about or previously purchased. We will not pass on your personal details to any third parties for purposes of marketing.
  • To carry out our obligations arising from any contracts entered into between you and us.

  • Business Address – This information is required in order for you to make an enquiry or purchase. If a purchase is made, we need to know where to deliver it to.

6              DETAILS OF TRANSFERS INCLUDING TO THIRD COUNTRIES & SAFEGUARDS

We will only disclose information about you to third parties if we are legally obliged to do so, where we need to comply with our contractual duties to you or where we there is legitimate interest in doing so. Here are the categories of third parties which your data may be transferred to:

  • Accountants – We are legally obligated to supply information relating to purchase orders for HMRC purposes.
  • CRM Provider – We use a third party web-based CRM system; we store all customer information in this system in order to manage our relationships with our customers.
  • Data Centre – We use a third party data centre which backs up our information systems, some of this data may include information relating to you.
  • Google – Google Analytics monitor the usage of our website however they do anonymyse your IP address when storing this.

We do not make transfers of your personal data to third countries and the above third parties whom may receive your data are strictly obligated to process under our instruction.

 

7              RETENTION PERIOD

We retain all customer employee contact data for 5 years after the last interaction.

 

8              RIGHTS OF DATA SUBJECTS

As a Data Subject (individual) which Techni process information on behalf of, you have a number of rights which you may exercise at any time, these are

The right of access: This is a right for an individual to obtain confirmation whether a controller processes personal information about them and, if so, to be provided with details of that personal information and access to it.

The right of rectification: This is a right for an individual to obtain rectification without undue delay of inaccurate personal data a controller may process about them;

The right to portability: This is a right for an individual to require a controller to transfer their data to another controller;

The right to erasure: This is a right for an individual to require a controller to erase personal information about them on certain grounds – for example, where the personal information is no longer necessary to fulfil the purposes for which it was collected;

The right to restriction: This is a right for an individual to require a controller to restrict processing of personal information about them on certain grounds;

The right to object: This is a right for an individual to object, on grounds relating to their particular situation, to a controller's processing of personal data about them, if certain grounds apply;
